Booking a hotel for a work crew in Ciudad Bolívar: how to reserve several rooms

Installation crews, audit teams, contractors and institutional delegations travel three, four or six at a time. How to book multiple rooms in Ciudad Bolívar, what details are needed, and how payment works when there is no corporate card.
Booking one room is easy. Booking six — with names not yet confirmed, dates that might shift by a day, and a payment coming from the company rather than anyone's own pocket — is a different exercise. And in Ciudad Bolívar there is a detail that catches out visitors from abroad: hotels here do not process credit cards, so the usual corporate mechanism of guaranteeing rooms with a company card simply does not apply.
The short answer: you book over WhatsApp, in a single conversation covering the whole group, and you pay by national bank transfer, Pago Móvil, or cash on arrival. At Hotel Laja City, on Av. Count beds, not people
The most common mistake when booking for a team is asking for "six rooms for six people". It is rarely necessary. The hotel's rooms are built for exactly this kind of shared travel:
- Double room with two single beds — two people, separate beds, work desk. From USD 65 a night. The standard setup for two colleagues travelling together who are not sharing a bed.
- Double room with two double beds — up to four people. From USD 75 a night.
- Triple room — one double bed and one single, for three. From USD 75 a night.
- Quadruple room — one double and two singles, for four. From USD 75 a night.
A crew of six usually resolves into one quadruple and one twin-bedded double, not six separate rooms. When a budget has to be signed off further up the chain, that difference is often what decides whether the trip happens.
What we need in order to hold the rooms
Four pieces of information are enough to confirm a booking, even if you do not yet know exactly who is travelling:
1. Arrival and departure dates, and whether they are firm or may move.
2. How many people and how they split — who can share a room and who cannot.
3. Whose name the booking is in: it can be the company, with individual names supplied later.
4. How payment will be made: national bank transfer, Pago Móvil, or cash on arrival. We do not process credit or debit cards.
Final names can come later. What is worth fixing early are the dates and the number of beds, because beds are what run out.
Paying when the traveller is not the payer
This is the question we get most. The sequence that works: agree the booking over WhatsApp, receive the breakdown with the total, have your finance team send the transfer or Pago Móvil, and send the receipt back through the same chat. Everything stays in one timestamped conversation — which is exactly what procurement asks for afterwards.
If the company cannot process payment before the trip, cash on arrival is equally valid, and the front desk is staffed around the clock. If you need any particular documentation to file the expense, ask when you arrange the booking so we have it ready at check-out.

Arrivals that do not line up
Teams almost never arrive together. Some drive, some take the afternoon flight into Tomás de Heres airport, and someone always lands at three in the morning because their itinerary changed. The front desk at Hotel Laja City is staffed 24 hours, so there is no need to squeeze the whole group into one arrival window or to warn us in advance about a delay.
Parking is included in the rate for every room, which matters when the group travels in its own vehicles or a works van. WiFi and cable smart TV are included too, and there is complimentary coffee every afternoon in the ground-floor cafeteria. The hotel has no restaurant — La Posada closed — but the cafeteria and room service are available, and the front desk will point you to somewhere to eat nearby depending on the hour.
